Fredericton Playhouse Inc. is seeking a highly organized, client-focused Booking Services Manager to join our administrative team. Reporting to the Executive Director, this full-time permanent position plays a key role in ensuring the smooth coordination of rental activity, supporting diverse community and professional use of our facilities, and delivering exceptional client service from inquiry to final settlement.

This position offers a dynamic work environment, engaging directly with arts presenters, community groups, corporate clients, and internal departments to support a wide range of events and performances. Flexible scheduling and occasional overtime are required.

About the Role:

The Booking Services Manager manages the facility booking calendar and serves as the first point of contact for rental clients for the Fredericton Playhouse and the new Hawkes Centre for the Arts (scheduled to open in 2027). This role supports clients through every stage of their engagement—from initial inquiry and site visits to contracts, services, and final settlement—ensuring accuracy, clarity, and exceptional service.

Key Responsibilities:

  • Maintain and develop a network of local, regional, and national clients. 
  • Manage the master booking calendar, including perennial bookings, templates, holds, and booking statuses.
  • Receive and respond to inquiries from new and existing clients in a timely and professional manner and host prospective clients for site meetings and familiarization tours as required.
  • Assist clients in assessing the feasibility of using our facilities by coordinating with internal business unit managers and following up as needed.
  • Issue and execute rental and service agreements, including deposit payments and document flow.
  • Provide thorough client support through consultation and regular follow-up to ensure needs are met.
  • Maintain complete and accurate files for each rental engagement and share information across departments to support high-quality service delivery.
  • Review settlement accounts with rental clients and authorize payments/billing in collaboration with the Finance & Administration Manager. 
  • Maintain and report statistics on facility usage, attendance, and other organizational key performance indicators.
  • Collaborate with the senior management team on organizational planning, budgeting, and forecasting.
  • Perform other duties as assigned by the Executive Director

Qualifications & Core Competencies:

The ideal candidate will possess: 

  • Relevant post-secondary education and at least five (5) years of experience in a similar or related role, or a suitable combination of training and experience.
  • A strong desire to meet and exceed client expectations.
  • Excellent interpersonal, communication, and tactful problem-solving skills.
  • A sales-driven and results-oriented mindset. 
  • Outstanding organizational skills and the ability to manage multiple files simultaneously with exceptional attention to detail and accuracy. 
  • Strong proficiency in computer applications including file and document flow, word processing, spreadsheets, and enterprise software. 
  • The ability to work collaboratively in a fast-paced, team-oriented environment. 
  • An appreciation for the public value of the performing arts and a basic understanding of the live arts/entertainment sector.

Compensation:

The starting salary range for this position is between $59,635 and $77,526 annually, commensurate with the successful candidate’s experience and training. A comprehensive benefits package is provided.
